Loan Policies for Faculty and Staff
- Books in Crumb and Crane Stacks (loan period 120 days; 14 day grace period; 2 renewals; subject to recall)
- Scores (loan period 120 days; 14 day grace period; 2 renewals; subject to recall)
- Crumb videos (14 day loan period; 7 day grace period; no renewal)
- Crane videos and sound recordings (special loan for instructional use 7 day loan; 14 day grace period; 3 item limit)
- Periodicals (Library use only; arrangements can be made for photocopying)
- Crane collected works (loan period 5 days; no renewal; 3 set limit)
Fines: 50 cents per day, per item; $10.00 per item maximum
Renewals: In person or by phone or email 24 hours a day; 7 days a week
Your SUNYCard is your library card. You must present your library card to borrow materials.
Due to the extended loan period, books and scores may be recalled before the due date for use by another patron. The new due date will be specified in the recall notice. Failure to return the material by the new due date will result in fines.

Instruction for Classes
Information Literacy at SUNY Potsdam -
Effective student use of information resources is one of the goals of the college and of the library faculty. Librarians will help develop assignments and projects to achieve this. Class presentations can also be requested, such as:
- a general introduction to the location and use of information (usually in freshman experience classes)
- orientation to the resources and search techniques appropriate for a particular assignment or project
- in-depth seminars on the bibliography of a subject area
Certain courses within the General Education program are designed to include an introduction to fundamental information concepts and skills for the beginning college student. The success of our efforts to enable all students to become proficient users of information resources depends on the cooperation of all faculty.

The library faculty are also prepared to help teaching faculty learn about new information technologies and resources. Please do not hesitate to contact us.
Electronic Resources
Faculty Participation in Collection Building
While responsibility for the selection of library materials rests with the library faculty, collaboration with teaching faculty is essential to build collections that support the academic programs of the college.
- Purchase recommendations from every teaching faculty member are strongly encouraged. Purchase recommendation form.
- College Libraries provides reviews from Choice to each department in order to assist teaching faculty in making purchase recommendations; recommendations other than from Choice reviews are also welcome.
- Library faculty are responsible for coordinating recommendations and developing a balanced and integrated collection.
- A departmental liaison from each academic department works with a Libraries liaison to ensure communication and coordination with regard to library acquisitions, including:
- distributing Choice reviews;
- conveying information about fund allocations and deadlines for purchase recommendations;
- discussing collection development issues, policies, and procedures.
Selection Criteria
As emphasized in the College Libraries Mission Statement, College Libraries will acquire materials that:
- Are intellectually appropriate for and related to undergraduate and graduate programs at SUNY Potsdam;
- Contribute to the scholarly and intellectual diversity of the collection, including materials not specifically related to the current curriculum;
- Contribute to richer, more diverse library collections among SUNY Colleges of Arts & Sciences.
In addition, the following criteria shall apply:
- Multiple copies will not be acquired unless there is clear evidence of ongoing demand.
- Copyright provisions, licensing agreements and other legal restrictions will be upheld.
- Although the libraries may hold materials required as texts for particular courses, materials will not be acquired solely to serve this purpose.
- Access to resources external to the libraries may be provided as an alternative to purchasing material.

College Libraries will support faculty scholarly activity primarily through interlibrary lending and delivery service (ILL/IDS) and when appropriate through direct acquisition.

Supplemental Funding for Library Materials
The College Libraries annually applies for and receives a grant from the State of New York to strengthen library collections. Funding levels are based on FTE and maintenance of effort. Typically, SUNY Potsdam receives between $6000 and $8000 yearly, depending on legislative appropriation. College Libraries allocates these funds to strengthen collections in support of current programs based on proposals submitted by teaching faculty.
Purpose:
Appropriate uses for Supplemental Funding include:
- · Adding depth to basic holdings in a specific subject area;
- · Providing increased coverage of an area due to a change in faculty expertise;
- · Providing materials to support interdisciplinary courses and programs;
- · Building support for a new course in an existing program;
- · Updating retrospective holdings in a particular subject area;
- · Purchasing single items or special sets of items too expensive for normal departmental budgets.
Proposal Process:
All faculty and departments are eligible to submit a proposal. When appropriate, applicants are encouraged to collaborate within or across departments. Efforts will be made to fund in total or in part - as many proposals as possible that meet the criteria. For further details and to submit a proposal, please use the attached form.
Gifts
College Libraries accepts, indeed welcomes, gifts of materials in good condition with the stipulation that the decisions about the disposition of the materials rests with Libraries staff. Materials that do not fall within collection development priorities may be sold with proceeds being used for purchasing library materials, or otherwise disposed of. Donors receive a form letter of acknowledgement, but the Libraries cannot appraise gifts nor provide an itemized title list. Exhibits
The Libraries welcome the use of the Crumb Library lobby for poster sessions of culminating course work and other exhibits that support the College's mission. Please contact Rebecca Thompson, Director of Libraries, if you are interested in using the space.
