If you need a book or an article not in Crumb or Crane Libraries, we will try to get it for you through our InterLibrary Loan Service.

As defined by the Interlibrary Loan Code for the United States, "Interlibrary loan is the process by which a library requests material from, or supplies material to, another library. The purpose of interlibrary loan as defined by this code is to obtain, upon request of a library user, material not available in the user's local library."
Before making a request, carefully check our catalog (for books) or CitationLinker (for periodicals) to make sure we don't already have the item you are requesting, or other items that can fill your need. Feel free to ask a librarian for assistance.
Who may use this service?
The services are open to all SUNY Potsdam students, faculty and staff as well as to area residents who are not from the other Associated Colleges. We ask that those affiliated with other local educational institutions submit their requests through their own libraries.
How to submit an interlibrary loan request.
To initiate an interlibrary loan request, register yourself ONCE in ILLiad, then logon with your username / password whenever you want to check the status of your ILL requests, submit a new request, or request renewal of borrowed items.
How long does it take?
Delivery time varies for many reasons, some beyond our control. Your requested material may be here in a few days, but a week to 10 days is an average waiting period.
How will I know when my book or article has arrived?
E-mail messages about the progress of your requests are sent out by ILLiad. You may also logon and check the status of requests at any time.
How are materials delivered?
If you selected "electronic delivery", articles transmitted to us electronically will be made available as PDF documents for you to download. You will need Adobe Acrobat Reader 4.0 or higher. This free software can be downloaded at Adobe - where you will click "get Acrobat Reader." More information about electronic documents in ILLiad is available.
Articles obtained as paper copies are delivered that way, and may be picked up at the Circulation Desk in Crumb Library, or, for faculty, will be sent in campus mail. Books may be picked up at the Crumb Circulation Desk.
If you submit a request and then decide that it is no longer needed, please logon to ILLiad and cancel the request.
How long may materials be kept?
Articles are yours to keep, though they remain available for downloading for a limited time. For books, the library which supplies the book specifies the loan period, which varies from a few days to about a month. The due date is noted on the slip wrapped around the book. Some materials are sent on the condition that they be used only in the library. Materials recalled by the lending library are due upon receipt of a recall notice.
May items be renewed?
Renewal is sometimes possible, at the discretion of the lending library. You may request a renewal through ILLiad. If the lending library does not grant the renewal, the material must be returned by its initial due date. A renewal request must be initiated before the original due date.
What are the penalties for overdues?
Overdue notices are sent if materials are not returned by their due dates. College Library borrowing privileges will be suspended if you do not respond to a recall or overdue notice. You are responsible for materials that you borrow. Lending libraries may charge overdue fines and/or replacement costs. Students who have not cleared their library records, including interlibrary loans, will be unable to register again and their transcripts will be withheld. Maintaining the good will of libraries which loan us materials requires the proper care and prompt return of these materials.
Are there alternatives to Interlibrary Loan?
Students at Potsdam have borrowing privileges at Clarkson, St. Lawrence University, SUNY Canton, the Potsdam Public Library and at all other SUNY colleges. It may be faster to go directly to these libraries yourself. The catalogs of most local libraries are available through the internet. Ask at the Information Desk about checking other library catalogs.
What are the copyright implications of Interlibrary Loans?
The limitations copyright law places on how materials obtained through Interlibrary Loan may be used are described in the document Copyright Guidelines: Interlibrary Loan.
Limitations on Interlibrary Loan requests.
In order to make interlibrary loan service available to all, staff may limit the number of pending requests for a patron to 15.
As a general rule, we do not accept requests for materials needed in less than a week, or for materials owned by Crumb/Crane Libraries unless we determine that they are lost.
All loans are dependent on the willingness of other libraries to supply the materials needed. We try to fill all requests but we cannot guarantee that the material requested will be received.
The following types of materials are often unavailable from our lending sources:
- Best-sellers
- Genealogical materials
- Rare books
- Reference books
- Textbooks
- Recently published books
- Entire issues or volumes of journals
- Videotapes and other AV materials.
