When submitting reimbursement for official travel by privately owned vehicle, please insure that you list
the starting and ending points (including addresses) of the trip(s) being claimed on Statement of
Automobile Travel Form AC160.
Mileage claimed should closely conform to the most efficient (time or distance) route as calculated by
widely available tools such as Google Maps or Mapquest. The starting point for your trip from Potsdam,
should be your home, or the college, whichever is closer to your destination.
Please note on Form AC160 any circumstances (e.g. weather, accidents) that might require a trip by a
less direct route.
Only official travel for college purposes should be claimed on travel vouchers. Side trips for shopping,
entertainment, or other personal activities should not be claimed on AC160.
When on a trip of extended duration, with multiple destinations, for example, high school or alumni visits,
please document each business related trip segment separately on Form AC160.
Knowingly misrepresenting the facts concerning travel for official business or signing travel forms which
contain deliberate false statements is a violation of the NY Penal Law and will be subject to administrative
and/or disciplinary action.
