Email is a quick and convenient form of communication; however, broadcast email messages – those sent to all students, all faculty and staff or both - should be used sparingly and as part of a general communication plan, not as the sole form of communication. It is the desire of the SUNY Potsdam Administration to limit the use of broadcast email messages so as not to diminish the effectiveness of this communication tool.
For Students
Mass or broadcast email messages to students will be allowed at the discretion of the President's Office or the Chief Student Affairs Officer for the following purposes:
- Emergency notifications
- Critical academic information pertinent to most students, including:
- Information from the Registrar
- Deadlines and Information regarding Financial Aid
- Information regarding the academic calendar
- Information or announcements pertinent to the health and welfare of students
- Deadlines and changes in student accounts, tuition or fees
- Last minute cancellation of campus-wide events
- Notification of campus network or other technical related events that affect many users
- Information regarding College-wide processes that are of importance to most students
- Events that have the potential to appeal to a large number of the campus community.
For Faculty/Staff
Mass or Broadcast email messages to faculty and staff will be allowed at the discretion of the President's Office for the following purposes:
- Emergency notifications
- Information or announcements pertinent to the health and welfare of the faculty and staff
- Notification of campus network or other technical related events that affect many users
- Last minute cancellation of campus-wide events
- Information regarding College-wide processes that are of importance to most faculty and staff
- Events that have the potential to appeal to a large number of the campus community.
Unacceptable
The following will generally not be allowed:
- Email messages promoting general events and activities
- Individual class promotion or announcements
