Setting Up Appointments
Advisors should use Navigate to set up an Appointment Campaign to schedule their advising meetings, eliminating the need for physical sign-up sheets.
In order to set up a campaign, advisors must:
- Sync your Outlook calendar and set up your availability in Navigate.
- Create an advising campaign to contact students to have them schedule appointments.
- In your campaign, you can personalize your instructions to your students and even attach fillable PDF advising forms to your email.
- There is a newly released update to Navigate that will allow advisors to add links to Teams or Zoom URL’s in their appointment communications created through Navigate. (More information and training to be added soon!)
The Student Meeting
Your preparation for advising appointments is unchanged. However, face-to-face meetings will now be facilitated through phone or email.
Advisors wishing to do so may explore using campus web-conferencing tools (Teams, Skype for Business, or Zoom).
You will continue to use BearPAWS to remove advising holds and view course summaries and use BearDeN to assist the student in assessing degree progress. Students will still use BearPAWS, BearDeN, and the Schedule of Classes to explore course options prior to the meeting.

Advisors should record notes from advising appointments in Navigate by selecting the student from your list of advisees and choosing Create an Appointment Summary from the Actions drop-down menu. Completed advising forms can be attached and uploaded to the appointment report in Navigate.
