Reserve a Venue

SUNY Potsdam is committed to meeting the logistical needs of the surrounding community by coordinating services and facilities essential for successful events.

When scheduling conferences, workshops, receptions, seminars, etc. for the public, the Director of Student Life Facilities issues a facility permit, ensures appropriate support services and provides facility-fee billing according to College policies and procedures. When providing services, it is necessary to make the most efficient use of the campus resources while not compromising the academic mission of SUNY Potsdam.

Facilities Charges

Facility use fees for "Standard (one time or occasional use)" or "Frequent Users" will be charged to all College-affiliated and off-campus organizations or groups.

Procedure (College-Affiliated and Off-Campus Users)

  1. All inquiries from College-affiliated and off-campus groups regarding the use of the College's facilities for classes, workshops, seminars, meetings, conferences, dinners and other special events or activities should be directed to the Director of Student Life Facilities.
     
  2. Upon receipt of the request for space and after consultation with appropriate campus personnel regarding the availability of space/ food service, the Director of Student Life Facilities will approve or deny the request.
     
  3. Following approval of facilities use, the Director of Student Life Facilities will coordinate the event, including issuing a contract, establishing and collecting fees (if appropriate). It will be the responsibility of the Director of Student Life Facilities to inform appropriate offices/departments of the intended use (i.e. University Police, custodial staff, etc.).
     
  4. Proof of liability insurance will be required.

Reservations

Reservation requests must follow proper procedures for form/document submission. 

Please contact the Director of Student Life Facilities, Casey Nelson, at (315) 267-4809 or nelsonca@potsdam.edu to reserve a space on campus. 

Please be ready to provide the following information:

  • Name of Organization
  • Event Description
  • Date/Time of Event
  • Size of Event
  • Requested Setup Needs (tables, chairs, layout, etc.)
  • Audio/Visual Needs (microphones, projection, sound)

Once you have secured a space, please complete the online Request for Revocable Permit form.
